Requesting Time Off

You can request time off in UTM by using the Scheduler Request page.

To navigate to Time Management:

From the main navigation bar, hover over the Myself menu to display available sections and links.
From the expanded navigation menu, select Time Management.
Select Scheduler

To request time off:

From the Time Management categories, select the Scheduler category.
Next, select the Add or plus sign in the top right hand corner of the screen.

From the New Request form, view your accrual balance information.

In the New Request, enter a description for the request for reference purposes.

From the “Type” drop-down list, select the appropriate pay code. Offices use different pay codes that include: PTO, Leave of Absence, FMLA and Military leave.
Enter the requested start and end dates. Use the Calendar icons, if needed.
You may also use the Advance Options which will show you a more detailed view of the Requested Hours, Available Hours and Remaining Hours.

If the number of Requested Hours needs to be changed, click on the “8.00” to change the hours to the correct amount.

Make sure you click Save once you complete the Time-Off Request.

Once Save has been clicked, you will receive the following message.

From the Time-Off Request view, you will be able to see all of your submitted requests, the total hours requested and the current approval status. Note: Until your Supervisor/Manager or Payroll Coordinator approves the request, it will remain in a “Pending” status as indicated below.

Your Supervisor/Manager will receive an email letting them know that a time off request has been submitted and must be reviewed. From the email, the employee’s supervisor/manager can click on a link that will take them directly to the request or if they can log into the UltiPro Portal to manage all Time-Off Requests.
Once the time off request has been submitted, it will remain in a pending status until approved by your supervisor/manager. Once approved, the employee will receive confirmation of the approval and the time requested off will be automatically posted to the timesheet.
If the Time-Off Request is “Approved”, the time-off will be automatically populated to the employee’s timesheet. If “Cancel” is selected, the Time-Off Request will remain in a “Pending Status”.
The employee will receive a notification through email to review the action taken with the Time-Off Request.

5.3 Editing or Deleting Time Off Request:

After a request has been approved by the supervisor/manager or payroll specialist, you may Edit, or Cancel a Time Off Request. You will also be able to indicate in the Notes section, why the change is occurring.

You can edit a request for time off by selecting the radial dial and then click Edit.



If you submit a request regardless of the Request Status, you can cancel it. You can cancel by selecting the radial dial and then click Edit.


Then the system gives you the opportunity to put in comments.
